CoActise Business Control
Four things. One control system.
Reports can tell you what happened.
Business Control is built to show what matters now.
For a transport operator, CoActise starts with the customer, route or recurring job where fuel, labour, waiting time or late payment pressure is hiding the next commercial move.
Current books. Available cash. Money owed. Margin movement. The few things that need you.
Underneath, it is finance discipline. On the surface, the paid diagnostic should feel simple: what is true, what is usable, what is stuck, and what needs the transport owner.
Ready for owner-use with one check needed.
Bank balance separated from protected commitments.
Blocker captured before another reminder is sent.
Only material owner-owned calls surface.
BOOKS STATUS Friday 4:00 pm. Bank feeds current. Sales invoices current. Two supplier bills need confirmation. Owner meaning: Available Cash can be shown, with the two bills kept visible.
Books that are current
Current books become control.
Most owners do not need another report sitting in a folder.
They need the financial truth kept current enough that the business can act from it.
This foundation layer keeps records, reconciliations and reporting rhythm usable so the next layer can ask better questions.
- A current financial base.
- Reporting that can be translated into action.
- Anything that looks off is flagged before it reaches you.
- Confidence notes where data is stale, missing or not clean enough.
A number you can use
Profit is not cash you can use.
Owners often make decisions from the number they can see quickly: the bank balance, the profit line, or a general feel for the month.
Some of that money may already belong to payroll, tax, GST, supplier bills, loan payments, upcoming commitments or a conservative buffer.
Available Cash turns the current financial position into a more practical owner answer: what can I use, based on known obligations today?
Available Cash, based on known obligations today.
EXAMPLE AVAILABLE CASH $48,320 Bank cash: $84,620 Protected: $36,300 Owner meaning: Use the $48,320 number for decisions, not the bank balance.
EXAMPLE GET MY MONEY IN INV-1048 · $14,200 Promise missed twice. New work requested. Owner decision: Take deposit. Hold work. Let it through.
The reason it's stuck
Sales become cash when money lands.
An invoice can be valid, overdue and still unpaid for five different reasons.
Another reminder does not solve that if the blocker is unknown.
Get My Money In follows earned money until it becomes cash, then pushes the right next action instead of creating more debtor noise.
- Invoice state and due-date visibility.
- Reason codes or structured blockers.
- One next action.
- Owner escalation only when the decision is commercial, material or relationship-sensitive.
The one thing for you
Only the right things need you.
The owner is not meant to be the filter for every finance signal.
Most finance changes are background material. They should be handled, checked, reconciled, watched or stored without becoming another interruption.
Needs You exists for the smaller class of issues where the owner is actually required.
Zero items can be the best possible state. It is built to reach you only when your decision is needed.
The owner sees the decision, not the noise.
NEEDS YOU 1 item Available Cash drops below buffer this week. Decision: Delay the equipment deposit, reduce it, or approve the temporary squeeze.
Escalation logic
Most noise stays below the owner.
A finance system can create hundreds of signals: bank movements, invoice updates, bill due dates, payment promises, margin shifts, reconciliations, payroll timing, tax obligations and missing information.
If every signal reaches the owner, the system has failed.
Business Control uses a tighter escalation test. Only then should it become a Needs You item.
The item has enough financial, operational or relationship weight to matter. Not every variance, delay or missing field is material.
JUDGEMENT STOP Customer missed two promises. The same customer wants new work. Owner choice: Take deposit. Hold work. Let it through.
Human-in-the-loop
Automation stops before judgement.
Business Control can prepare the issue, calculate the repeatable parts, classify simple replies, track promises, watch dates and package the owner question.
But the system should stop when the decision involves relationship risk, customer treatment, credit tolerance, margin trade-offs, compliance uncertainty or contradictory information.
The philosophy is simple: automate the repeatable work. Humanise the judgement.
Ways to Work bridge
Same system. Three depths of human involvement.
Business Control is the system.
Ways to Work is how much human depth you put around it.
Some owners need the foundation. Some need more frequent interpretation and follow-through. Some need a closer blind-spot partnership around bigger or more uncomfortable decisions.
Current books, usable cash, money movement and the few things that need attention.
More interpretation and follow-through around the same control system.
Closer judgement partnership around bigger or more uncomfortable decisions.
The system does not change. The human involvement gets deeper.
Start here
Start with the first control question.
You do not need another report to decode.
You need to know what is current, what is usable, what is stuck, and what genuinely needs your decision.
Start with the Control Check, or talk to CoActise if the situation already feels specific.

MONDAY OWNER VIEW Use this money. Fix this invoice. Decide this. Financial truth underneath. Clear owner action on top.
