CoActise Privacy Policy
Effective date: 1 July 2026
This Privacy Policy explains how AccuCore Business Services Pty Ltd (ABN 19 688 030 462), trading as CoActise, collects, holds, uses and discloses personal information.
Privacy enquiries, access requests, correction requests and privacy complaints can be sent to support@coactise.com.au.
Information we collect
Depending on the service or enquiry, we may collect:
- name, contact and identity details;
- business and authorised-representative details;
- ABNs and other business identifiers;
- bookkeeping, accounting, payroll and superannuation information;
- employee details contained in business records;
- communications, enquiries, bookings, payment and support records;
- information submitted through forms, document uploads or connected systems; and
- website, device, cookie and similar technology information.
We collect sensitive information only where it is reasonably necessary and permitted by law, and obtain consent where required.
How we collect and hold information
We collect information directly from you, from authorised representatives, from connected accounting or business systems you ask us to use, from service providers and from publicly available sources where reasonably necessary.
We hold information in our systems, paper records and contracted storage or software services. We use access controls and security measures appropriate to the information and the risk.
If requested information is not provided, we may be unable to respond to an enquiry or provide all or part of a service. We will explain the relevant consequence where practicable.
How we use information
We use personal information to:
- respond to enquiries and provide, administer and improve services;
- maintain business and professional records;
- process payments and manage accounts;
- communicate with clients and authorised contacts;
- manage security, complaints and disputes;
- meet legal, regulatory and professional obligations; and
- send marketing where permitted and where you have consented or the law otherwise allows it.
We will not use personal information for a materially different purpose or disclose it to a new category of recipient without a lawful basis.
Contractors and overseas access
CoActise anticipates that it may occasionally disclose relevant bookkeeping, payroll and superannuation information to authorised contractor personnel in India. India is expected to be used infrequently and only where the service requires it. The information may include bookkeeping records, ABNs, payroll information, superannuation information and employee details.
Indian contractors are prohibited from accessing TFNs, health information, bank details, identity documents and other sensitive payroll fields.
Cloud, accounting, document, email, practice-management, payment, booking, marketing, analytics, backup and support providers may store or access information outside Australia. India is the overseas contractor location currently identified for direct service access. Depending on the provider and account configuration, other locations may include the United States, New Zealand, the United Kingdom, countries in the European Union and Singapore. Not every location applies to every service. We take reasonable steps required by applicable privacy law when disclosing information overseas.
Tax File Numbers
CoActise may collect a Tax File Number only where authorised by taxation, personal assistance or superannuation law. Providing a TFN is voluntary unless a law says otherwise.
We use and disclose TFNs only as permitted by law and protect them from unauthorised access. Indian contractors cannot access TFNs.
Cookies and website technologies
We may use cookies, analytics, chat, pixels and similar technologies to operate the website, understand usage, improve services and, where permitted, support marketing. Your browser or device may provide controls for some technologies.
Our contact and subscribe forms use Cloudflare Turnstile, a service provided by Cloudflare, Inc., to tell people from automated bots. When you use a form, your browser sends limited technical information to Cloudflare for that check. We do not store the Turnstile result with your enquiry.
Marketing
Marketing consent is optional and separate from service communications. Each marketing message will identify CoActise and include a simple unsubscribe method.
We will not send partner marketing or add you to a partner's marketing list unless the relevant partner, purpose and consent basis have been separately identified and the required consent has been obtained.
Retention and deletion
We keep information only for as long as reasonably required for the purpose collected, legal and professional record-keeping obligations, dispute handling, security and legitimate business administration. We then securely destroy or de-identify it, subject to lawful holds and required retention periods.
Chat, AI and automated decision-making
CoActise may make chat or AI assistance available through website or service channels. Any chat or AI collection point will provide a notice explaining the information collected, provider, purpose, retention and overseas access before personal information is submitted.
CoActise does not currently use chat or AI output to make, or substantially and directly assist, decisions that could significantly affect an individual's rights or interests. If that changes, we will update this policy before the use begins and provide the information required by law.
Data breaches
We maintain procedures to assess, contain and respond to suspected data breaches. Where the Notifiable Data Breaches scheme applies and an eligible breach is likely to result in serious harm, CoActise will notify affected individuals and the Office of the Australian Information Commissioner as required by law.
Access and correction
You may request access to, or correction of, personal information we hold about you by contacting support@coactise.com.au. We may need to verify your identity and may lawfully refuse or limit access in specified circumstances.
We will not charge you to make an access or correction request. We may charge a reasonable cost of providing access where permitted by law and will explain that cost before proceeding.
Privacy complaints
Contact support@coactise.com.au with the details of your concern. We will acknowledge and investigate the complaint and respond within a reasonable period, ordinarily within 30 days.
If the complaint is not resolved, you may contact the Office of the Australian Information Commissioner at https://www.oaic.gov.au/privacy/privacy-complaints.
Updates
We may update this policy to reflect changes to our services, systems or legal obligations. The current version will show its effective date.
